Event Services Assistant
The Event Services Assistant (ESA) is a vital member of the Event Services team. ESA’s provide hotel-type front desk assistance in campus residence halls and are often the first and primary contact guests have with the College. In providing quality customer service, the ESA displays Christ’s love to guests of both religious and non-religious backgrounds. As a ESA you will be restructuring residence halls from student use to conference guest use, and then returning them back after the summer conference season ends. You will be responsible for checking guests into their housing and providing them with support during their stay at Wheaton. ESA’s report directly to the Assistant Director of Operations.
Job Responsibilities (include but not limited to)

Attending training sessions and weekly staff meeting.

Familiarity with the Event Services Assistant Handbook.

Restructuring residence halls from student use to conference guest use, and then returning them to student use after the summer conference season ends.

Staffing residence halls utilizing a day, evening and/or weekend shift schedule as the conference calendar requires.

Check-in/check-out of conference guests

Maintaining accurate forms and records for guest registration and linen inventory, and performing various administrative tasks.

Providing front desk services, giving directions, and providing necessary conference information for guests.

Complying with all College and Event Services procedures and policies.

Taking the initiative to insure guest security and safety and assisting with any emergency situations that may arise.

Ability to drive Wheaton College campus mini-vans around campus for various tasks. (Campus certification required)
Operations Coordinator
The Event Services Operations Coordinator (OC) is a vital member of the Event Services team. OC's provide assistance to the Conference Managers and clients with logistical details to ensure every event runs smoothly. This position carries a high level of responsibility and requires the ability to respond quickly to client and supervisor needs as they arise in a fast-paced environment with minimal supervision. This position requires attention to detail and the ability to take initiative while offering an opportunity to grow in multiple skills that would make one successful in hospitality and event management as well as many other fields. OC’s report to the Director of Event Services.
Job Responsibilities (include but not limited to)

Work with clients during planning period and assist Conference & Event Manager with pre-conference planning

Work with clients during their conference to ensure smooth operations and meet client needs as they arise

Schedule and conduct Smart Desk training for clients

Manage inventory of conference supplies and accessories

Manage the assignment, signing out, receiving, and collection of conference supplies and accessories according to client needs

Place work orders for keys and be responsible for their distribution and collection according to client needs

Check facility setups and make changes as necessary

Staff office front desk, meet and greet visitors, answer phones
